University of Nottingham Ningbo China is seeking to recruit a Knowledge Exchange Assistant. The successful candidate will join a fast-paced, multi-tasking and external-facing team dedicated to drive and support knowledge exchange activities across all disciplines. The post is expected to provide administrative and professional support to the team and administration of the RKE Office efficiently and to a high standard, across a wide range of activities ranging from collaborative research with industry partners, technology transfer, innovation and entrepreneurship to policy and public engagement. With a University degree in a relevant subject or equivalent qualifications, the candidate is expected to have well-developed planning skills particularly workflow management, written and verbal communication skills, with experience in delivering projects or organising events within deadline, budget, meeting objectives with strong Microsoft Office skills. Experience of working in a multi-cultural and academic environment or experience in an industry area will be desirable.

The purpose of the role is to assist in the knowledge exchange team and administration of the Department by providing support and advice to staff efficiently and to a high standard.

Your key responsibilities include:

  • Plan and organise own/team activities to ensure that deadlines/customer expectations are met.
  • Plan and organise internal and external engagement events within budgets, schedules and specific end date; arrange meetings, appointments and travel arrangements.
  • Participate in or co-ordinate work unit-based projects or development activities.
  • Input into the annual resource planning process to ensure that resource requirements of own work area are recognised.
  • Communicate and build working relationships with key contacts from other school/departmental/work units as well as external bodies, to support own work activities.
  • Advise on pricing and purchasing of equipment/software/materials, following liaison with suppliers.
  • Attend meetings, as requested by manager, to support school/departmental/work unit activities and to report back on main discussion points.
  • Provide professional and efficient support to team members to ensure smooth operation of the KE team.
  • Provide advice to peers and customers to respond and independently resolve a range of standard and unforeseen issues, within pre-determined operational limits.
  • Advise and/or train service users on specific aspects within own section of work such as design/preparation/use of existing systems, services or processes.
  • Diagnose and rectify faults/problems with systems and/or procedures within own area.
  • Advise on and propose changes in procedures, plans, priorities and office systems to improve operational efficiency and quality of service in own work area.
  • Keep skills up to date and develop depth or breadth of knowledge in a particular area through learning from more senior/experienced colleagues, exposure to a range of activities, and/or formal training/professional qualification.
  • Research, collate, organise and edit material for inclusion in reports/documents.
  • Identify gaps or shortfalls in information and search for sources of information to fill these.
  • Analyse data/statistics, interpreting and reporting patterns and trends and highlighting and prioritising any issues for further investigation to support informed decision making.
  • Show sensitivity and consideration to other people's customer needs and feelings, which may include dealing with signs of obvious distress (e.g. individual in tears).
  • Advise and gain the support of other people (e.g. staff, students, contractors, external agents), where there is no line management responsibility, in order to contribute to the delivery of services/project objectives.

About You

  • You should have a bachelor degree in a relevant subject.
  • You should have experience in delivering projects or organising events within deadline, budget meeting objectives.
  • You should have experience of working with relevant specialised equipment, software, hardware or procedures.
  • You should have rich experience of working in a professional team environment.
  • You should have comprehensive knowledge of the work practices, processes and procedures relevant to the role.
  • You should have operating knowledge of services/systems/processes in own area that would be required to provide first line advice and guidance, typically of a more technical/specialised nature, to customers.
  • You should have well-developed written and verbal communication skills and interpersonal skills.
  • You should have aAnalysis & problem-solving capability.
  • You should have planning skills, particularly workflow management.
  • You should have organisational skills.
  • You should have strong Microsoft Office skills.
