University of Nottingham Ningbo China is seeking to recruit a Event and PGCHE Assistant in Graduate School

UNNC started its Ph.D. since 2010, and with over ten years' development, we now have over 900 PhDs in three faculties and China Beacons Institute. Around 80% of PhDs are from the world top 100 universities, and over 60% of students are scholarship holders. Graduate School now has 16 Doctoral Training Programme partners with over 200 DTP students.

The purpose of the role is to assist in the PGR engagement events, PGCHE and administration of the School/Department by providing support and advice to staff/students efficiently and to a high standard.

Your Key Responsibilities Include:

  • To support communications and promotion activities at GS, including maintain GS Moodle/Sharepoint page, GS Webpage, GS Wechat Account, Design and Produce Promotion materials for the relevant activities;
  • Plan and organise PGR students' activities to ensure that deadlines/customer expectations are met;
  • To work closely with Module Convenors to be responsible for all PGCHE administration activities, including: data preparation and maintenance, logistic support to workshops/events, documents preparation for Exam Board, official letters and PGCHE certificates preparation, public mailbox maintenance (announcements/reminders to targeted groups), Moodle sites maintenance (users management, workshop maintenance, reading lists, etc.), workshop attendance record checking/keeping and evaluation collection, individual progress check and guidance, regular meetings across tri-campuses, report special cases, regular report to UK team, etc.;
  • To logistically support the organisation and delivery of events and activities designed for PGR students, supervisors and early career researchers (arrange GTA training, conference organisation and social activities), including room booking, GS training room maintenance, prepare tea break, venue setup, take photos/videos, etc.
  • Communicate and build working relationships with key contacts from other school/departmental/work units (HR, DCL, GEO, Library and CELE) as well as external bodies, to support PGR activities;
  • To maintain GS public mailbox (forward to relevant GS colleagues/offices to follow up or answer enquiries when necessary, forward announcements/advertisements when necessary) and provide various official letters PGR students require for Visa application, attending conferences, etc.

About You

  • University degree in a relevant subject, or equivalent qualifications/certification, plus considerable experience in a relevant role(s).    
  • Well-developed written and verbal communication skills and interpersonal skills.
  • Operational skills on social media platforms and maintaining relevant platforms.
  • Analysis & problem solving capability.
  • Experience of working with relevant specialised equipment, software, hardware or procedures.  
  • Experience of working/responding independently and dealing with unforeseen problems and circumstances.  
  • Comprehensive knowledge of the work practices, processes and procedures relevant to the role.  
  • Operating knowledge of services/systems/processes in own area that would be required to provide first line advice and guidance, typically of a more technical/specialised nature, to customers.
