 University of Nottingham Ningbo China is seeking to recruit a Research Information Assistant in Research and Knowledge Exchange Office.

Your Responsibilities

Research Information Assistant will support the effective implementation and use of the Research Information System (RIS), using excellent data skills to maintain the data quality in the system and ensure all system processes are followed by all users, including drawing data from the system to prepare a range of reports and supporting the general running of the Research and Knowledge Exchange Office. It also supports wider operational and administrative needs of RKE Office such as departmental meetings, events and RKE website.

Your key responsibilities include:

  • Working closely with stakeholder teams, ensure all RIS data is complete and accurate;
  • Identifying potential RIS system issues and developing solutions, escalating to senior colleagues where necessary;
  • Taking the initiative to ensure data quality, checking and resolving errors, pushing data through to validation and generally maintaining and building a robust database;
  • To develop specialist skills and knowledge in all application procedures and ensure they are implemented within RIS effectively;
  • Diagnose and rectify faults/problems with systems and/or procedures within own area;Advise on and propose changes in procedures, plans, priorities and office systems to improve operational efficiency and quality of service in own work area;
  • Develop reporting templates, dashboards and other reports that meet the needs of RIS users and stakeholders;
  • Support stakeholder teams and senior leaders to use the appropriate reporting templates and dashboards, including supporting senior managers with coordinating cross-institution reporting, particularly with the intense workload of end-of-year National Government reports to MoE and MOST and others as required;
  • Research, collate, organise and edit material for inclusion in reports/documents;
  • Identify gaps or shortfalls in information and search for sources of information to fill these;
  • Analyse data/statistics, interpreting and reporting patterns and trends and highlighting and prioritising any issues for further investigation to support informed decision making;
  • Provide advice to peers and customers to respond and independently resolve a range of standard and unforeseen issues, within pre-determined operational limits;
  • Inform RKE office and faculty colleagues when there are outstanding tasks that may have been missed and generally facilitate day-to-day use of the system;
  • Implementing RIS policies and processes and ensuring Faculties and other admin teams understand and follow processes;
  • Maintain excellent working relationships with all teams and stakeholders in the system;
  • Provide ad-hoc support and training for all system users;
  • Support the wider team with day-to-day logistics needs including meeting, panels and event coordination, producing materials for external meetings and events, etc;
  • Support senior managers with coordinating cross-institution reporting, particularly with the intense workload of end-of-year National Government reports to MoE and MOST and others as required;
  • Communicate and build working relationships with key contacts to support own work activities.

About You

  • University degree in a relevant subject;
  • Fluency in both written and spoken English;
  • Experience working in an office/administrative environment and undertaking a range of administrative duties;
  • Strong administrative skills and attention to detail;
  • Strong problem-solving skills;
  • Strong interpersonal skills and dedication to delivering a quality service;
  • Strong sense of responsibility;
  • An ability to prioritise, meet deadlines and take the initiative;
  • Ability to handle sensitive and confidential information appropriately and with discretion.
